Calendar and News Submissions

We welcome content and events for inclusion in OEDIB's calendar, website, and biweekly newsletter.

 

EVENTS: There are two ways to include your event on the Office for Equity, Diversity, Inclusion, and Belonging website calendar:  Via the Harvard College Calendar or via the Harvard Gazette. Instructions for both options are provided below.

 

NEWSLETTER: News items and events are accepted for consideration. Follow the submission guidelines below.

Submit Your Event

Submit Your Event via Harvard Gazette

To submit your event via the Harvard Gazette:

  • Visit the Gazette Calendar Submission page and follow the detailed instructions. 
  • Tag your event with the classification: Diversity & Inclusion.

Only events tagged with "Diversity & Inclusion" in the Gazette calendar will automatically be included in the ODIB calendar. 


The Harvard Gazette is responsible for approval and corrections on their calendar. If you have any questions, updates, cancellations, etc. after you have submitted an event, please send an email to both calendar@harvard.edu and gazette@harvard.edu.

 

Submit Your Event via Harvard College

The Harvard College calendar includes University-wide and public events for faculty, staff, students, and the local community.


Submit an Event

 

To submit an event via the Harvard College Calenadar:

 

1. Select "Submit Your Event" or visit the Harvard College calendar submission page.

 

2. Fill in the sections: Main Info, Description, Schedule, and Location

 

3. Upload a photo (minimum 940 x 557px). A photo description is required to ensure accessibility.


4. Under Filters go to Category and select "Diversity and Inclusion". Use the Audience filter for student-only events, otherwise leave blank.

 

5. Use the text field to request your security preferences:

  • By default, events that include Zoom links will be placed behind a HarvardKey login. 
  • If you do not want your Zoom link behind a HarvardKey login, use the text field to note this preference.
  • If you want your in-person or non-Zoom events behind HarvardKey, please make this request in the text field. 

6. Review your details and click Submit.

  • You should receive an email confirming your event submission.
  • Your event will be visible on the ODIB events page within one-two days of submission if approved.
  • If you have additional changes to your event after submitting, use the Edit Event button on the event page. This will send your event back to the pending queue for approval.

Many Harvard departments and offices use the Harvard College calendar. Your event may be published on calendars across the University depending on the other filters you selected.
 

Submitting an event via Harvard College calendar will not include your event in the Harvard Gazette Calendar. 

 

News and Newsletter Submissions

The OEDIB newsletter is distributed twice monthly. We consider all content including events, news items, calls for proposals, job openings, and more. Subscribe here.

To request that your news item or event be considered for publication on the website or in the newsletter, email edib@harvard.edu with your submission following the content guidelines below.

Submission Guidelines

  • Include "Newsletter Submission" in the email subject line.
  • Include all relevant details:

    • For events: First, submit your event via the EDIB calendar. Email EDIB with the event name, date, time, location or virtual event link/registration requesting inclusion in the newsletter. Include the sponsor organization if you would like it listed.

    • For news items: Article title, publication date, publication title, name and title of Harvard affiliated author or affiliate mentioned in the item.

  • Include a JPG or PNG image with your submission sized at least 600 pixels on one side, minimum 72 dpi resolution. 

    • If you included an image in your EDIB calendar submission, there is no need to include an image via email.

  • For news items: Indicate if you would also like the item to be included in the EDIB news feed.

  • Requests should be recieved by the Thursday prior to publication.

Publication Schedule

We consider all news, events, and announcements related to equity, diversity, inclusion, and belonging at Harvard.

During the academic year, the newsletter is sent out twice monthly on Tuesday/Wednesday/Thursday depending on the content for that week.  To be considered, submissions must be recieved by 3 pm on the Thursday before publication.

We reserve the right to make minor adjustments to the schedule without prior notice. All content may be editing for length, clarity, and style.
